Job Title: Forum Coordinator

  • Up to 30 hours a month at $50 an hour.
  • This is a contract position.
  • Must be available Tue-Thur the third week of every month (hours vary) and the fourth Weds of every month from 3:30-5:30pm.
  • This is a remote positions with in-person meetings and events in Bend, OR.

Job Description:

The City Club of Central Oregon mission is to foster an informed community through dialogue and education that enhances responsible civic engagement. We do this through a monthly community forum on a different topic each month at an in-person forum. Click here for upcoming topics.

We are seeking a highly organized and detail-oriented Forum Coordinator to oversee and manage the planning, coordination, and execution of our monthly forums. The ideal candidate will have experience in program planning, event planning, volunteer coordination and a strong understanding of audio-visual requirements for events. The Forum Coordinator will work with the Executive Director to ensure the seamless delivery of our forums.


Forum Content Pre-Planning (10 hours a month):

  • Arrange for meetings with forum planning committees.
  • Work with planning committee to get bios, headshots and slides.
  • Attended meetings as needed.

Forum Event Planning (12 hours a month):

  • Coordinate with the venue AV team on presentations.
  • Coordinate forum volunteers and table hosts.
  • Work with the Executive Director on the run of show.
  • Prepare all event and table signage.
  • Prepare sponsor table signage.
  • Day Before Forum:
    • Finalize the registration list.
    • Prepare nametags.
    • Organize and prepare table linens and napkins.

Forum Day/Onsite (8 hours):

  • Bring all materials to the venue and set up.
  • Work with the AV team onsite for a seamless production.
  • Coordinate transitions between speakers.
  • Coordinate volunteers onsite and provide any necessary training and guidance.
  • Clean up and pack all materials and linens.
  • Act as the onsite event coordinator to ensure all aspects run smoothly.
  • Reorganize all signage and nametags for the next forum.


  • Dedication to civil conversation, civic involvement and our values.
  • Previous event planning experience.
  • Understanding of how event audio-visual works.
  • Experience in volunteer coordination.
  • Ability to attend in-person, remote meetings and in-person forums.
  • Reliable transportation and a car large enough to transport all supplies.
  • Reliable computer with internet access.
  • Experience or wiliness to learn PowerPoint.
  • Ability to perform well under pressure.
  • Ability to navigate difficult and political conversations that may spark disagreement.
